Software · BUYING FRAMEWORK

Find the right tool. Keep the right plan.

A practical framework for comparing software features, usage limits, data controls and the cost of staying.

A long feature list can make several tools look equally useful. A better starting point is your own work: the task you need to finish, the people who need access and the information you will put into the system. Use these questions to build a comparison around that reality.

THE IDEA TO TAKE WITH YOU

Compare the plan you would actually use, with the work you would actually do.

STEP 01

Define the task before the shortlist

Write down one recurring job, how you do it now and what would make the result better. Separate essential needs from nice extras. If you try several tools, use the same non-sensitive sample task in each and record where you needed help.

Questions to ask

  • What result would make this worth keeping?
  • Which existing tools must it work with?
  • Who needs access, and what should each person be able to do?
STEP 02

Read the plan, not just the product page

Build your comparison from the provider's current plan details. Record the billing period and the limits that affect your task. If pricing depends on seats, credits, storage or usage, ask what happens when you reach the allowance.

Questions to ask

  • Are the features in this exact plan?
  • What costs extra, and can extra use be restricted?
  • Is the displayed price monthly billing or an annual commitment?
STEP 03

Check the information you are handing over

Read the provider's privacy, retention and data-use terms before uploading sensitive files. For AI tools, look for the terms that apply to the account and plan you are considering. Ask for clarification where a setting or promise is unclear.

Questions to ask

  • Who can access the account and uploaded information?
  • What export and deletion options are documented?
  • Do you need approval from your organisation before using it?
STEP 04

Plan for renewal and for leaving

A subscription is an ongoing choice. Save the terms you accepted, note the next renewal and check how to cancel. If your work would become dependent on the tool, try exporting a sample before committing.

Questions to ask

  • When does the trial end, and what happens next?
  • Can you move your work into a useful format?
  • What access remains after cancellation?

BEFORE YOU COMMIT

Your decision checklist.

  • A real task and clear success criteria
  • The exact plan, billing period and limits
  • Data terms and necessary permissions checked
  • A workable export and cancellation route
